Coastal VA Solutions is pleased to offer its clients efficient, professional and affordable virtual and onsite business support.
All of our services are offered on a use as you need, pay as you use basis, so the amount of work you wish to delegate to us, be it 5 hours a week, 30 hours a week, or something in between is completely up to you. To relieve you of some of your administrative burden, we welcome both ad-hoc projects as well as ongoing assistance.
To ensure you have the flexibility of using our services as and when required we have kept our payment structure VERY simple. We charge a flat hourly rate, so no need to worry about pre-paying for packaged hours you may not actually use.
We also offer FOUR value-packed, ‘all inclusive’ service based packages, which are ideal if you are seeking some support with your meeting and event administration or travel requirements. Whether you’re a Professional Speaker, Entertainer, Business Owner, Executive, Tourism Operator or Event Manager, we’re here to help you maximise your productivity and save you from wasting hours and hours of your precious time.

THE FINE PRINT
- $48.00 hourly rate is for basic office administration tasks and is invoiced weekly on a pay as you use basis. More complex tasks may attract a higher rate.
- All virtual support will be charged in 15 minute time increments.
- Onsite administration support/reception assistance is available for local clients located in the Port Macquarie region. Half day (4 hours), full day (8 hours) or weekly packages apply.
- Onsite event/conference support is available for clients Australia wide. Half day (4 hours) or full day (8 hours) packages apply.
- Services Agreement to be signed by client prior to any work commencing.
- Work requested by client to be completed outside of normal business hours and/or at short notice (within 24 hours) will incur additional charges as per Services Agreement.
- Prices subject to increase at the discretion of Coastal VA Solutions.
Travel and Event Administration Packages
Time Saving Travel (single)
A valuable time saving package for any Entrepreneur, Business Owner or Executive who requires some assistance with planning and booking their next business trip.- Initial consultation via phone or zoom to discuss & understand requirements
- Prepare travel booking form and send to Client for completion
- Source and book flights (Max 4 flights)
- Source and book ground transportation (Max 2 bookings)
- Source and book accommodation (Max 2 properties)
- Prepare final itinerary
- Package for single traveler only
Meetings Made Easy
A valuable time saving package for any Business Professional or Event Manager who requires some assistance with coordinating their next meeting.- Initial consultation via phone or zoom to discuss & understand requirements
- Manage incoming/outgoing communication between Client/Venues/3rd party suppliers
- Research various venues & shortlist most suitable
- Source comparative quotes from shortlisted venues & provide to Client for final selection
- Negotiate rate & payment terms with venue to ensure Client needs are met
- Liaise with venue to coordinate event specifics such as catering selections, room set up, IT requirements, breakout spaces, start/end/break times, WiFi access
- Facilitate final contract & send to Client for signing
- Liaise with 3rd party suppliers such as meeting facilitator or caterer if required
- Prepare daily run sheet/s
- Introduce Client via email to onsite Event Coordinator who will be the contact on the day of the meeting (if VA is not present)
- Package price available for up to 30 delegates
Time Saving Travel (group)
A valuable time saving package for any organisation who requires some assistance with planning and booking a business trip for their small team of superstars.- Initial consultation via phone or zoom to discuss & understand requirements
- Prepare travel booking form and send to Client for completion
- Source and book flights (Max 4 flights per person)
- Source and book ground transportation (Max 2 bookings)
- Source and book accommodation (Max 2 properties)
- Prepare final itinerary for each person
- Package for 2 to 10 travelers on identical itineraries
A Speakers Saviour
A valuable time saving package for any Professional Speaker or Entertainer who requires some assistance with coordinating their next speaking engagement.- Initial consultation via phone or zoom to discuss & understand requirements
- Manage incoming/outgoing communication between Speaker/Speakers Client/Speaker Bureaus or Event Manager
- Source & book flights
- Source & book ground transportation
- Source & book accommodation
- Prepare final itinerary
- Prepare event run sheet
- Manage Speaker contract
- Arrange IT & audio visual requirements with venue or 3rd party
- Schedule pre-event call/s with Speaker & their Client to ensure content meets event objectives
- Schedule dinner or breakfast meeting with Speaker & CEO/Executive hosting event
- Arrange videographer to film event
- Compile a spreadsheet listing attendees contact details
- Send all attendees a post-event survey seeking feedback & testimonials on Speakers performance
THE FINE PRINT – Travel and Event Administration Packages
- Total package price is a service charge for VA’s time only and does not include any venue, travel or 3rd party expenses. Client to pay all costs directly to supplier.
- GST not applicable on packages.
- 50% payment is due upfront with the balance to be paid two weeks prior to event. 100% upfront payment for travel packages.
- Services Agreement to be signed by the Client prior to any work commencing.
- Package price is for one event only. Repeat events that are identical and at the same venue will be discounted by 10% of the package price.
- Add on services are available and VA’s time will be charged at an additional $48/hour – examples of add-on services may include; creating invitations and managing RSVP’s; booking travel arrangements and accommodation; restaurant bookings; sourcing 3rd party suppliers, e.g. team building consultants, event stylists, cake suppliers or guest speakers; booking local tours and activities; printing name tags; preparing and distributing meeting papers or handouts; sourcing delegate gifts etc.
- Onsite assistance at your event is available – Half day (4 hours) or full day (8 hours) packages apply + all travel expenses.
- Venue site inspection service is available
